Plumbing answering service that knows which leak can’t wait

Short answer

A plumbing answering service picks up your calls when you can’t, at any hour. Ours is 100% AI, in English and Spanish. It greets callers with your company name, tells them up front it’s an AI and asks what a plumber would ask first: is water still running? Active leaks and sewage backups go straight to your on-call plumber, everything else is booked into your calendar, and you get a summary of every call. You stay under the sink, and a drip that can wait doesn’t wake you at 2 a.m.

When plumbing calls come at the wrong time

It’s 6:50 on a Tuesday evening in Knoxville. You’re on your back under a kitchen sink at the last job of the day, flashlight in your teeth, both hands on a slip nut. Your phone buzzes on the counter for the third time in ten minutes.

One is a homeowner with a water heater leaking into the garage. One is a landlord whose tenant has an overflowing toilet. One wants a price on a new faucet next month. From under the sink they all sound the same, and so does voicemail. The caller with water on the floor won’t wait for a callback. They’ll try the next plumber on the list.

How the call goes

  1. It picks up in your company’s name

The AI says: “Copperline Plumbing, this is AI Receptionist, the AI assistant. What’s happening?”

  2. It asks the question that sorts the call

The AI says: “Is water still running right now, or has it stopped?”

  3. It checks where the water is and what it’s near

A ceiling, an outlet, the panel or a floor drain changes the call. Then it asks whether it’s clean water or coming up from a drain. Your shut-off line, if you use one, is read word for word.

The AI says: “Where is the water coming from, and is it anywhere near an outlet or the electrical panel?”

  4. It takes what your plumber needs at the door

Address, unit number, a callback number, whether the caller owns or rents, and for water heaters whether the unit is gas or electric.

The AI says: “Is the water heater gas or electric, and do you own the home or rent?”

  5. It routes the call by your rules

Urgent calls are put through to your on-call plumber, or the details are emailed to them at once. The rest are booked into your next open slot and confirmed only once the booking is saved.

The AI says: “Since the water has stopped, this can go in a regular slot. Wednesday, eight to ten, is open.”

Diagram of the Plumbing call protocol: It picks up in your company's name → It asks the question that sorts the call → It checks where the water is and what it's near → It takes what your plumber needs at the door → It routes the call by your rules.

What counts as urgent

Above every row sits one rule: a gas smell, an electric shock or anyone hurt gets your 911 line first. Below it are the defaults we bring to a plumbing company; every row is yours to change.

What counts as urgent
SituationWhat happens
Pipe burst, or water that won’t shut off Urgent: put through to your on-call plumber now
Sewage coming up a tub, toilet or floor drain Urgent: on-call plumber now
Water heater leaking and still running Urgent: your shut-off line if you use one, then the on-call plumber
The only toilet in the home won’t flush or keeps overflowing Urgent or first slot, by your rule
No water anywhere in the house Urgent or first slot, by your rule
Water heater leak that stopped once the valve was closed First open slot, confirmed once it’s saved
Dripping faucet, slow drain, remodel quote Booked, or a message for the office

What it never says on these calls

  • What’s causing the leak, or how long the repair will take.
  • A price, a trip charge or an arrival window you haven’t approved.
  • Whether the homeowner’s insurance, or the landlord, will pay.
  • A fix to try at home beyond the shut-off line you approved.
  • That a tenant’s job is approved, when your rule is to wait for the landlord.

What you decide

  • What’s urgent at night: for some plumbers a leaking water heater is a 2 a.m. job; for others it waits once the valve is closed.
  • Who’s on call each night and weekend, and who is the backup.
  • Your safety lines: the shut-off line, the water-near-electrics line and the 911 line, in your words.
  • Renters: take the job from a tenant, or wait for the landlord’s okay.
  • Booking: which jobs it books, the windows it offers and how long each one blocks.
  • Your trip charge: quoted on the call, or left for your plumber.

We set it up the way you want and you approve the final version.

Why this works for plumbers

Our call protocols come from nearly two decades of running phone reception for small businesses. In an answering service for plumbing companies, picking up is the easy part; the order of the questions is most of the job.

  1. It asks what matters: “Is water still running?” comes before the address, because the answer decides whether your on-call plumber’s phone rings tonight. It escalates real emergencies: an active leak reaches a plumber while the water is still running, not when someone plays back voicemail at 7 a.m. The reasoning behind each rule is on our method. If you also install furnaces or AC, the HVAC answering service page asks who’s at risk before anything else; the other trades are on home services.

What it costs

This plumbing phone answering service bills per answered call: no night rate, no per-minute billing, and a call put through to your on-call plumber still counts as one call. You can begin on Pay As You Go, with no monthly fee and $0.99 per answered call, and move to the 50-Call Plan, $29 a month for 50 calls, once your volume is steady. Every plan is on pricing.

What the month would cost on each plan: the monthly fee plus each call past the ones included.

Questions plumbing owners ask

Is this a 24/7 plumbing answering service?

Yes. It answers every call, nights, weekends and holidays included, and takes several calls at the same time, so nobody hears a busy signal during a freeze. Or use it only when the office is closed, as your after hours answering service.

How does it reach my on-call plumber?

It puts the caller straight through, or emails your plumber the address and what’s leaking the moment the call is sorted as urgent. If your plumber doesn’t pick up, it tries the backup you named. The caller is told the plumber has their details, never a time you haven’t approved.

How is an AI receptionist for plumbers different from voicemail?

Voicemail records whatever the caller manages to say. A plumbing virtual receptionist, or any good call answering service for plumbers, asks: is water running, where is it, is it near electrics, gas or electric heater, own or rent. You get those answers in a written summary instead of a rushed message, and the urgent call has already reached your plumber.

Does it book jobs into my calendar?

Yes. It books routine calls, such as drains, fixtures and estimates, into the slots you allow, and confirms the visit only once the booking is saved. If your calendar can’t take it, the request stays pending and your office confirms it. The details are on appointment scheduling.

Will it quote my trip charge?

Only if you give it the number and the words. Some plumbers want the service-call fee said on every call so nobody is surprised at the door; others leave it to the plumber. Either way, the AI never estimates the repair itself: no “that’s usually a couple hundred,” no guess at how long it takes. What was or wasn’t quoted shows up in your summary.
