Privacy policy

Last updated

This policy explains how airecepcionist LLC ("we", "us") handles personal information when you visit this website, become a customer of AIReceptionistGo, or call a business that uses our AI receptionist. We don’t sell personal information, and we only use it to run and improve the service.

1. Who we are

AIReceptionistGo is a service operated by airecepcionist LLC, a limited liability company with its address at 8206 Louisiana Blvd NE, Ste A #2959, Albuquerque, New Mexico 87113, US. For any privacy question or request, write to us through the contact page or by mail to the address above.

2. Two different roles

We handle personal information in two situations, and the rules differ:

As the business responsible for it. Information you give us directly: when you visit this website, fill in a form, sign up or manage your account.

As a service provider for our customers. Information about the people who call our customers, captured when our AI receptionist answers. That information belongs to our customer, the business that was called. We process it on their instructions and for no other purpose. If you called a business and want to exercise a right over that call, contact that business; we’ll help them respond.

3. What we collect

From this website: the details you enter in a form (name, company, email, phone), the page you sent it from, campaign information in the link you followed, and technical data such as IP address, browser, device and pages visited. Cookies are covered in section 10.

From customers: account and billing contact details, the phone numbers connected to the service, your call protocol and instructions, your team’s contact details for alerts and summaries, and your usage.

From calls we answer for a customer: the caller’s phone number, the recording of the call, its transcript, and the details the customer’s protocol asks for, such as name, reason for calling, address or appointment preferences.

What we don’t ask for on calls. Our AI receptionist is instructed not to ask for payment card numbers, bank details, Social Security numbers or passwords, and to stop a caller who starts to give them.

4. Calls are recorded, and callers are told

Every call answered by AIReceptionistGo starts with the AI receptionist introducing itself as an AI assistant, and callers are told the call may be recorded. Recordings and transcripts are used to deliver the summary to our customer, to let them check what was said, and to improve the protocol. See our call recording and AI notice for details.

5. How we use it

  • To answer your inquiry and contact you when you ask us to.
  • To provide the service: answering calls, taking messages, flagging urgent calls and sending summaries.
  • To bill you and keep the records the law requires.
  • To send you messages about your account. Marketing emails only if you’ve agreed, with an unsubscribe link in every one.
  • To check quality and improve call protocols.
  • To protect the service against spam, abuse and fraud.
  • To comply with the law.

We don’t sell personal information and we don’t share it with third parties for their own marketing.

6. Who we share it with

We use service providers to run AIReceptionistGo: hosting, telephony, voice and transcription technology, email delivery, payment processing and analytics. They may only use the information to provide their service to us, under written agreements. We may also disclose information when the law requires it, or to protect our rights, our customers or the public.

7. How long we keep it

Inquiries that don’t become customers: only as long as we need them to answer and follow up, then deleted.

Customer accounts: while the account is open, and afterwards for as long as tax and accounting law requires.

Call recordings, transcripts and summaries: for the period the customer sets in their account, then deleted. Customers can ask us to delete calls sooner.

8. Your rights

Depending on the state you live in, you may have the right to know what personal information we hold about you, get a copy, correct it, delete it, and opt out of targeted advertising or of the sale or sharing of personal information. We don’t sell personal information. We won’t treat you differently for exercising any of these rights.

To make a request, use the contact page or write to us by mail. We’ll verify your identity before acting and reply within the time the applicable law requires. You can use an authorized agent where your state allows it. If we refuse a request, you can appeal by replying to our answer.

9. Health information

AIReceptionistGo is not currently offered under a Business Associate Agreement. Healthcare customers should not use the service to collect protected health information until we have signed one with them. Our AI receptionist does not give medical advice.

10. Cookies and similar technologies

This website uses the cookies it needs to work and, only if you accept them, cookies to measure visits. It doesn’t use advertising cookies; if that ever changes, a Global Privacy Control signal from your browser will keep them off. You can accept, reject or change your choice at any time from the cookie banner. Our Cookie Policy lists every cookie the site uses.

11. Security

Access to accounts and call records is limited to the people who need it. No system is completely secure; if a breach affects your information, we’ll notify you and the authorities as the law requires. More on security and privacy.

12. Children

The service is for businesses. It isn’t directed at anyone under 18, and we don’t knowingly collect information from children.

13. Changes to this policy

When we change this policy, we’ll update the date at the top. If a change materially affects customers, we’ll also tell them by email.
