Short answer
Business telephone answering machine messages tend to arrive incomplete: half a name, a number cut off, no reason for the call. AIReceptionistGo is a message taking service run by a 100% AI receptionist. It tells callers it’s an AI, asks for every detail your business needs, reads the name and number back, and emails the finished message to the right person with the transcript one click away.
What goes into every message
A message is only useful if you can act on it without calling back to ask what it was about. Each call is written up with:
-
Who called. Full name, spelled out if it’s unusual.
-
How to reach them. The callback number, read back to the caller and corrected on the spot if they misspoke.
-
What it’s about. In a sentence you can read in a few seconds: the job, the property, the appointment, the question.
-
Who it’s for. You, a colleague, or whoever covers that kind of call.
-
How urgent it is. Measured against the list you wrote, not a guess.
-
What the caller was told. So you know what was said before you call back, and that nothing was promised in your name.
The questions behind those lines come from a protocol for your industry. A caller to a contractor gets asked for the job address. A caller to a realtor gets asked which property.
How the message reaches you
-
The call is answered right away
No ringing out, no full mailbox. The caller hears your business name and an introduction as an AI assistant, in English or Spanish.
-
The details are checked before the call ends
It asks what’s missing, repeats the number and the name, and confirms the reason for the call. The check happens before the caller hangs up, which is exactly the point where handwritten notes fail.
-
The message goes to the right inbox
A summary arrives by email to you, or to the person you chose for that kind of call. Urgent calls are flagged and passed on following your rules, by email or by putting the call through.
-
Everything stays in your dashboard
Each message keeps its recording and full transcript, so the exact words are there if a detail is ever in doubt. The call dashboard shows all of it in one list.

What you control
You decide how messages are taken and where they go, and we configure it that way.
-
The details each message needs. Address for a service call, case type for a law office, property for a realtor.
-
Who gets which messages. One inbox for everything, or each person receives their own.
-
What’s urgent. And whether an urgent call becomes an email alert or is put straight through to someone.
-
What callers are told. “Maria will call you back” is fine. A price or a date you haven’t approved is never said.
-
When it answers. All day, after hours, or only when nobody else picks up.

The method behind a complete message
Our call protocols come from nearly two decades of running phone reception for small businesses. Message taking is the simplest job on a phone line and the easiest to do badly: a message missing one detail costs a callback, and sometimes the customer. These rules shape every message AIReceptionistGo takes:
-
It asks what matters. Every trade has a short list of must-have details, and the protocol doesn’t let the call end until each one is on the message.
-
It never promises what you don’t. The caller hears what happens next, never a commitment you haven’t made.
-
You see every call. Summary in your inbox, recording and transcript behind it.

A person who takes your messages well is worth a lot, and some businesses keep one at the front desk. To compare an AI with a remote receptionist team, read virtual receptionist. If you mostly want to stop losing calls to the beep, see AI voicemail.
What message taking costs
You pay by the call, and every call comes with its message, recording and transcript, at no extra cost per message. A line that takes few messages can run on Pay As You Go: no monthly fee, $0.99 for each call it answers. On the 50-Call Plan you get 50 calls a month for $29, then $0.69 per extra call. Questions about message taking
What is a message taking service?
A phone message taking service answers your phone when you can’t, takes down who called and why, and passes it on. With AIReceptionistGo, an AI receptionist does it: it asks the questions your protocol lists, confirms the name and number with the caller and emails you a summary, with the recording and transcript kept in your dashboard.
How is this different from the messages on a business answering machine?
An answering machine records what the caller chooses to say. Here, an AI asks for each detail, checks the number and sorts the call by urgency. Instead of a recording to play back, you get a written summary you can act on, and the recording is still there. If what you need is the wording for a greeting to record, that’s on the AI voicemail page.
What if the AI gets a name or number wrong?
It reads names and numbers back to the caller, so mistakes get fixed during the call, not after. If something stays unclear, the summary says so, and you have the recording and the transcript to check the exact words before you call back. Nothing depends on someone’s handwriting.
Can each person on my team get their own messages?
Yes. You decide who receives which messages: calls for a named person go to that person, and the rest can go to you or a shared inbox. Urgent calls can go to whoever is covering. We set it up during setup and change it whenever your team changes.
Does an answering service take messages in Spanish?
AIReceptionistGo does. Spanish-speaking callers are asked the same questions as everyone else, in Spanish, and each of those calls gets its recording, transcript and summary like any other. If half your customers call in Spanish, read more on the bilingual AI receptionist page.
Will it tell callers when I’ll call back?
Only what you approve. A message answering service shouldn’t make promises for you, so by default the caller hears that their message will be passed on. If you want it to say “within the hour” or “by the next business day”, that goes in your instructions and it says exactly that.
Get messages you don’t have to decode
Your first complete message can be the next call you miss. Tell us what a good message looks like in your business and who should receive each kind; we adapt the protocol we use for businesses like yours, and once you’ve signed off on it, you forward your line. Setup costs nothing.
