Roofing answering service for the calls you can’t take from a roof
Short answer
A roofing answering service answers your company’s calls while you and your crew are up on a roof. Ours is 100% AI: it takes the call in your company’s name, says it’s an AI and first asks whether water is coming in right now. Active leaks go to whoever you put on call, inspections are booked, and calls with a deadline, such as a home sale or an adjuster’s visit, reach the right person with the date attached. When you climb down, there’s a summary of every call waiting, not a voicemail box.

When roofing calls come at the wrong time
It’s 2:15 on a July afternoon in Oklahoma City. You’re harnessed to a two-story roof, a nail gun in one hand and a bundle of shingles at your knee, and your phone is ringing on the dashboard of the truck below.
It could be a homeowner with a fresh ceiling stain after last night’s rain. A seller whose buyer’s inspector just flagged the roof, closing in two weeks. An adjuster who wants to meet you at a property on Thursday. By the time you’re on the ground, the seller is already calling the next roofer.
How the call goes
-
It takes the call for your company
The AI says: “Redstone Roofing, this is AI Receptionist, the AI assistant. What can I help with?”
-
It asks if anyone’s hurt and if water is coming in
Anyone hurt, power lines down or a tree through the roof gets your 911 line before anything else.
The AI says: “Is anyone hurt, or are any lines down? And is water coming into the house right now?”
-
It finds out what kind of job it is
The AI says: “Is this a repair, an inspection, or a quote for a new roof?”
-
It asks about deadlines
Roofing calls often come with a date someone else set: a closing, an adjuster’s visit. It goes at the top of the summary.
The AI says: “Is there a date this needs to be done by?”
-
It takes the details and routes the call
Name, address and callback number, then your rules: put through, booked into your calendar and confirmed only once saved, or passed on as a message marked with the deadline.
The AI says: “Water coming in now is urgent. I’m putting you through to our crew on call.”
On storm days, when everyone calls at once, the order changes. That version is our roofing storm damage call script.
What counts as urgent
For a roofing company we start from these defaults, and you set the final list.
| Situation | What happens |
|---|---|
| Water coming into the living space now | Urgent: whoever’s on call for leaks, for a tarp if you offer one |
| Tree or limb through the roof | 911 first if anyone is hurt or lines are down; then urgent |
| Home sale with a closing date, roof flagged by an inspector | Message to your estimator, marked with the date |
| Adjuster asking to meet at a property | Message to the person handling that claim |
| Hail or wind damage, no water coming in | Inspection booked |
| Old ceiling stain, no active drip | Inspection booked |
| New roof, gutters or a skylight quote | Estimate booked, or a note for the office |
What it never says on these calls
- What the insurance will pay, or anything about the deductible.
- A price per square or a ballpark for a new roof.
- That the roof will pass inspection or be “certified” by the closing date.
- That the caller should go up on the roof to take a look.
- That it’s “probably just a few shingles.”
What you decide
- Who gets leak calls after hours, and whether you offer emergency tarps.
- Storm days: when to switch to booking inspections only, and how many slots a day.
- Adjusters and realtors: which person on your team gets those calls.
- Your service area, and the work you don’t do, such as flat or commercial roofs.
- Your lines on insurance and financing, read word for word, or none at all.
We set it up the way you want and you approve the final version.
Why this works for roofers
Our call protocols come from nearly two decades of running phone reception for small businesses, and a roofing line mixes emergencies with paperwork. It knows when to hand over: an active leak goes to whoever’s on call, an adjuster to whoever handles the claim, a closing date to your estimator. It never promises what you don’t: no coverage, no deductible talk, no “done by the 28th.” Those are the promises that cost roofers money and reputation.
More on both rules on our method. If you also take on remodels, the answering service for contractors page sorts leads from clients on current jobs; every trade we cover is on home services.
What it costs
After a hailstorm, a roofer’s phone can ring for days. Every caller gets an answer without waiting on hold, and you’re billed per answered call, not per minute: $0.99 each on Pay As You Go, with no monthly fee. If storm season keeps you busy, the 50-Call Plan includes 50 calls for $29 a month. All plans are on pricing.

Your month, by plan
Best fit: 50-Call Plan, $29.00
- Pay As You Go Best fit $29.70
- 50-Call Plan Best fit $29.00
- 100-Call Plan Best fit $49.00
What the month would cost on each plan: the monthly fee plus each call past the ones included.
Questions roofing owners ask
What does a roofing answering service do with calls from agents and inspectors?
It treats them as deadline calls. An agent or a seller calls with a closing date and an inspection report; the AI takes the date, the address and what the report flagged, and sends it to your estimator marked with the deadline. It never says the roof will pass or be certified by that date. That’s your call after you’ve been up there.
Will it talk to homeowners about insurance claims?
Only to ask whether they’ve filed a claim yet, and to note the claim number if they have one. It never says what insurance will cover, never mentions the deductible and never offers to handle the claim. If you have an approved line about working with insurers, it reads that line word for word.
Can a roofer virtual receptionist book inspections into my calendar?
Yes. It books inspections and estimates into the slots you allow, and confirms only once the booking is saved (appointment scheduling). If your calendar can’t take it, the request stays pending and your office confirms it. You decide how much time each inspection blocks, and which jobs it can book on its own.
I’m a two-man crew. Do I need this?
With both of you on the roof, nobody answers and the seller with a closing date calls the next roofer on the list. A roofer answering service covers the line for the price of the calls it answers, with no monthly fee on Pay As You Go. You read the summaries at lunch; the only call that reaches you up there is the active leak you told us to put through.
Can it split calls between my estimators and my crews?
Yes. As an answering service for roofing companies with more than one person on the phone list, it routes each kind of call by your rules: repairs to the service crew, new roofs to the estimator, adjusters to whoever handles claims. You decide who gets which summaries, and you see every call in one dashboard.
