Short answer

A call center answering service picks up your customers’ calls and answers their questions, so they don’t have to call back. AIReceptionistGo is a 100% AI receptionist that does this for small businesses: hours, delivery areas, the prices you’ve approved, returns, and the details of every order, on the first call, 24/7, in English and Spanish. Think of it as the customer service answering service of a call center, at a size and a price that fit a small business.

Saturday morning, and the same five questions

A fictional example. It’s 10:30 on a Saturday in April at Cedar Lane Garden Supply. Ray is at the register with six people in line, and the phone won’t stop. Are you open Sunday? Do you deliver to Brookfield? How much is mulch by the yard? Where’s the order I placed on Tuesday?

Every one of those questions has an answer Ray could give in ten seconds. He just can’t give it while he’s ringing up a customer. So the phone rings out, some callers try again later, and some buy their mulch somewhere else.

Most of what reaches a small business phone is like this: questions with known answers. That’s the part of a call center’s job that fits an AI receptionist.

What it answers on the first call

You give it the answers; it gives them to your customers. The usual list for a shop, a service company or an office looks like this:

  • Hours and holidays

When you’re open, when you close early, which days you’re closed.

  • Where you work

Your address, your delivery or service area, parking, how to find you.

  • Prices you’ve approved

Your price list, your minimum order, your delivery fee. Nothing it has to guess.

  • Policies

Returns, warranties, deposits, cancellations, in your words.

  • Orders

It takes the order details (what, how many, pickup or delivery, name and number) and sends them to you to confirm. It never takes payment.

  • Order status, if you give it the information

Your delivery days, for example. If it doesn’t know where an order is, it says so and passes the question to you.

A question that isn’t on the list never gets an invented reply. Instead it notes the details and passes the call or the message to the right person, by your rules.

How customer service phone answering works

  1. You write the answers once

During setup we go through the questions your customers ask most and write the approved answer to each one with you. We start from what callers usually ask in your industry, so the list isn’t blank.

  2. Answered right away, and introduced as an AI

Customers hear your business name first, then AI Receptionist explaining that it’s an AI assistant. Several customers can call at once without anyone waiting on hold.

  3. It sorts what it can answer from what needs you

Known questions get an answer. A complaint, a special request or a caller who asks for you is transferred to you or your team, or becomes a message if nobody picks up. Anything urgent goes straight to your chosen person, as an email alert or a live transfer.

  4. Every call lands in your inbox

Each call is recorded and transcribed, with a short summary in your inbox.

What you decide

What your customers hear is up to you; our team sets it up accordingly.

  • The approved answers. Which questions get an answer at all, and the exact words. When something changes (a holiday schedule, a price), the list changes with it.

  • What it never says. Discounts, delivery times, refunds or anything else you haven’t approved.

  • Who gets which calls. Complaints to you, orders to the counter, billing to whoever handles it.

  • When it answers. All calls, only when your team is busy, or only after hours.

  • Languages. Customers can speak English or Spanish; see the bilingual AI receptionist.

The method behind good customer service calls

Our call protocols come from nearly two decades of running phone reception for small businesses. Two of our rules carry the most weight on a customer service line:

  1. It only says what you’ve approved. A customer who hears the wrong price or a delivery promise you didn’t make is worse off than one who waited for a callback. So a question without an approved answer gets an honest “the team will get back to you”.

  2. You see every call. The summaries show you what customers ask most. When a question keeps coming up without an answer, we add one, so the list keeps getting better.

More on our method, and the step-by-step setup on how it works.

Answering service, call center or both: which part fits a small business

An outsourced call center is built for big volumes and for more than the phone. A small business usually needs a smaller piece of that. Here’s an honest comparison.

Answering service, call center or both: which part fits a small business
Outsourced call center AIReceptionistGo
Who answers Agents working from the center’s scripts AI, introduced as AI, giving your approved answers
Incoming customer questions Yes Yes, 24/7
Order taking Yes, often with payment Order details taken and sent to you; no payment
Outbound calls and sales campaigns Often No
Email, chat and social media Often No, phone only
Several calls at once Depends on staffing Each call answered, no hold
Setup and commitment Usually a contract and a volume to plan for Free setup, no contract

If you need a team calling customers, selling or taking card payments, a call center is the better fit. If you need your incoming calls answered well, without hiring, this is the part you need.

Pricing for customer service calls

Answering a FAQ or taking an order counts as one call, like any other call: no surcharge, no night rate. You can start with no monthly fee, at $0.99 per answered call. A store with steady customer calls usually looks at the two plans with calls included: $29 buys 50 calls on the 50-Call Plan, $49 buys 100 on the 100-Call Plan, and a busy Saturday beyond that is billed at $0.69 or $0.49 a call, depending on the plan. Count a normal month’s calls, busy season included, and compare them on pricing.

Best fit: 50-Call Plan, $29.00

  • Pay As You Go $29.70
  • 50-Call Plan Best fit $29.00

What the month would cost on each plan: the monthly fee plus each call past the ones included.

Questions about customer service answering

What is a call center answering service?

It’s a service that answers your incoming calls for you, answers customers’ common questions and passes on what needs your attention. Large call centers also make outbound calls and handle email or chat. AIReceptionistGo covers the phone side for small businesses with an AI receptionist that answers 24/7, using answers you’ve approved.

What’s the difference between an answering service and a call center?

An answering service focuses on your incoming calls: answering, taking messages and passing on urgent ones. A call center is usually larger and does more, such as outbound sales, payments and several channels. An AI answering service sits in between: it answers customer questions on the first call, but it doesn’t sell, collect payments or run campaigns.

Can it take orders over the phone?

Yes. Answering service order taking, the way we do it, means collecting what’s needed for the order (items, quantities, pickup or delivery, the customer’s name and number) and sending it to you in the call summary, the way every message arrives. You confirm the order with the customer. It never takes card details or payments, and it never tells a caller an order is confirmed when it isn’t.

Can an AI customer service phone line check where an order is?

Only with the information you give it. If you tell it your delivery days or how long orders usually take, it can share that. It can’t see your order system, so when a customer asks about a specific order, it takes the name and order details and passes them to your team instead of guessing.

What happens if a customer asks something it doesn’t know?

It says it doesn’t have that answer, takes the customer’s details and passes the question on, as a transfer or a message, depending on your rules. You see the question in the summary. If it comes up often, we add the approved answer, so the next caller gets it on the first call.

Will it handle complaints?

It listens, takes down what happened and what the customer wants, and follows your rules: transfer the call to you or a manager, or send you the details marked for a callback. It can say it’s sorry, but it doesn’t offer refunds, discounts or anything else you haven’t approved. You decide how complaints are handled.
