Taxi call answering service for cab and limo companies

Short answer

A taxi call answering service picks up when your dispatcher is already on two lines and the airport runs are starting. AIReceptionistGo is a 100% AI receptionist that answers in your company’s name, says it’s an AI, takes the pickup, destination, time and passenger details, and passes every ride to your dispatcher to assign. Limo quotes go to you, and each ride request lands in dispatch’s inbox with every detail filled in.

When taxi and limo calls come at the wrong time

It’s 4:50 a.m. in Tulsa. Your one night dispatcher is booking a 5:30 airport run on one line, has a driver on the radio and a second caller on hold. A third call rings out.

That third caller has a 7 a.m. flight, and the airport fare is gone by the time anyone calls back. Later today, someone will call about a wedding next June, and someone else about a phone left on a back seat. None of those calls can wait on hold for long.

How the call goes

One exception overrides the order below. If a caller, a passenger or one of your drivers says someone is hurt, in danger or feels unsafe, the AI stops taking the ride, tells them to call 911 and alerts your dispatcher. Someone booking an airport pickup goes straight to the pickup.

“If anyone is hurt or in danger, please hang up and call 911 now.”

  1. A ride now, a ride later, or something else?

A ride now goes straight to your dispatcher. A scheduled ride is taken in full. Quotes, lost items and complaints each have their own path.

The AI says: “Do you need a ride now, or are you booking one for later?”

  2. Where, when and who

Pickup address or terminal and flight number, destination, time, passengers and luggage, and whether a wheelchair-accessible vehicle is needed.

The AI says: “How many passengers, any luggage, and do you need an accessible vehicle?”

  3. Limo and event requests

Date, hours needed, number of passengers, pickup and drop-off, the occasion. It goes to you as a lead with everything you need to quote.

The AI says: “What’s the date, and how many hours would you need the car?”

  4. Hand it to dispatch

The call is put through to the dispatcher, or the ride request is emailed at once. The caller hears that dispatch will confirm, not a time the AI can’t see.

The AI says: “I’ve sent this to dispatch, and they’ll confirm your pickup.”

What counts as urgent

A taxi, sedan or limo company usually starts here; your service area, your hours and your fleet decide the rest.

What counts as urgent
SituationWhat happens
An accident, an injury or a passenger who feels unsafe Told to call 911; dispatcher alerted
A passenger waiting now, or a ride needed now Put through to the dispatcher, or details emailed at once
A driver calling about a breakdown Put through to the dispatcher, by your rules
An airport pickup or a scheduled ride Full details taken; request sent for dispatch to confirm
A wedding, prom or corporate quote Lead for the owner with date, hours and passengers
An item left in a vehicle Message for dispatch with the time, route and description
Fare, service area and hours questions Answered from your approved list, or a message

What it never says on these calls

  • An arrival time, or that a car is “on its way.” It can’t see your fleet.
  • A fare, a flat rate or an airport price you haven’t approved.
  • The driver’s name, phone number or location.
  • Whether a lost item has been found.
  • Any card or payment details. It never takes them.

What you decide

  • When calls go to your dispatcher, when ride requests are emailed instead, and how dispatch confirms the pickup with the passenger.
  • Your service area and the hours you run, so out-of-area or late requests get the right answer.
  • Approved fares, if any: airport flat rates, or none at all.
  • Limo and event leads: what to ask and who quotes.
  • Lost items and complaints: who handles them, and what callers hear.
  • Passengers who call in Spanish: pickup details taken in Spanish and sent to dispatch the same way.

We set it up the way you want and you approve the final version.

Why this works for taxi and limo companies

Our call protocols come from nearly two decades of running phone reception for small businesses. A ride call is short, but one missing detail, a terminal, a flight number, a wheelchair, means the wrong car or a missed pickup. It asks what matters, in the order dispatch needs it. It knows when to hand over: rides go to your dispatcher, quotes go to you, and the AI never pretends to see the fleet. More on our method and on call transfer. Tow companies use our towing answering service, and every sector is on industries.

What it costs

Each answered call on Pay As You Go is $0.99, with no monthly fee, so overflow and night calls cost only when they come in. A company with steady phone bookings can take the 100-Call Plan: 100 calls for $49 a month. Plans are on pricing.

Your month, by plan

30

Best fit: 50-Call Plan, $29.00

  • Pay As You Go $29.70
  • 50-Call Plan Best fit $29.00
  • 100-Call Plan $49.00

What the month would cost on each plan: the monthly fee plus each call past the ones included.

Questions taxi and limo owners ask

Can it dispatch cars?

No. It takes the ride and hands it to your dispatcher, by putting the call through or emailing the request at once. Your dispatcher assigns the car and the driver. If your dispatch software can take the request directly, we’ll say so during setup; if not, it arrives by email the same minute.

Is it a taxi dispatch call center?

It’s the answering part of one: a taxi answering service that picks up every call, several at once, takes complete ride details and sends them to dispatch, so nobody waits on hold. The dispatching stays with your team, who can see the cars.

Does it work as a limo answering service for weddings and events?

Yes. A limousine answering service has to capture more than a ride: date, hours, passengers, pickup and drop-off, the occasion and a callback number. The AI takes all of it and sends you the lead to quote. It never gives a price you haven’t approved.

What happens when someone calls for a ride at 3 a.m.?

That’s your rule. If you run 24 hours, the call goes to your night dispatcher. If you don’t, callers hear your hours and can book a ride for later. Either way the call is answered, and the request is in your summary.

Is a taxi call answering service worth it for a small fleet?

For a small fleet the question isn’t volume, it’s the ten minutes at 4:50 a.m. when one dispatcher has two lines and the radio. A taxi call answering service takes the third call, gets the full ride and hands it over, so the dispatcher never chooses which caller to lose. That’s overflow call answering, and on pay-per-call you pay only for the calls it answers.
