Best medical answering service: how to choose the right type for your practice
Short answer
The best medical answering service is the type that fits your calls: a live medical answering service if callers need a person on every call, a healthcare call center if you run hospital-scale volume, or an AI receptionist if most calls are bookings, messages and calls for the doctor on call. We’re one of the options below (AIReceptionistGo, 100% AI), so we compare types, not brands, and say where each one fits better than we do.
This is a phone-answering service for medical offices. It doesn’t give medical advice, and callers with an emergency are told to hang up and call 911.

Live service, healthcare call center or AI receptionist
How the three types of medical answering service companies usually compare. Every provider differs, so check each point with the ones on your list.
| Compared on | Live medical answering service | Healthcare call center | AI receptionist (AIReceptionistGo) |
|---|---|---|---|
| Who answers | People, often shared across several practices | Trained agents, at larger volume | AI, on the first ring, and it says so |
| Built for | Practices that want a person on every call | Hospitals and large groups | Small practices with routine calls |
| Medical advice or triage | Some offer nurse triage; ask | Some offer nurse triage; ask | Never: the AI doesn’t judge symptoms |
| BAA for patient calls | Ask for it before the first call | Ask for it before the first call | Not signed yet: healthcare is on a waitlist |
| Several calls at once | Depends on who’s on shift | Depends on staffing | Answered at the same time |
| Reaching the on-call doctor | Paged or passed on by an agent | Paged or passed on by an agent | Put through or alerted, by your schedule |
| How it’s usually billed | Often by the minute | Usually a contract sized to volume | By the answered call, no contract |
| English and Spanish | Ask whether Spanish costs extra | Ask whether Spanish costs extra | Both, on every call |
We haven’t signed BAAs yet, so we don’t set up practices that need one. What a BAA covers and what to ask any provider is in our honest guide to HIPAA and answering services.

Hear how a call sounds
A comparison table only goes so far. This is an after-hours call to a plumbing shop, answered by the AI, and the summary the owner gets right after. Press play to hear it.
- It says it’s an AI up front, and again when the caller asks.
- It asks what matters, in order: what’s wrong, how urgent, who and where.
- It never promises what the owner hasn’t approved.

Example call: a leaking water heater after hours, answered by the AI.
Copperline Plumbing
Tuesday, 6:40 p.m. · after hours
Urgent
- AI
- Thanks for calling Copperline Plumbing. This is the shop’s AI assistant. How can I help?
- Caller
- Oh. Am I talking to a real person?
- AI
- No, I’m an AI assistant. I can take the details and get them to the on-call plumber. What’s going on?
- Caller
- My water heater is leaking. It’s not a flood, just a puddle that keeps growing.
- AI
- Okay. Is it still leaking right now?
- Caller
- Yes, it’s still dripping.
- AI
- Got it. I’m marking this urgent for the on-call plumber. Your name and address?
- Caller
- Megan Torres, 31 Willow Bend.
- AI
- Thanks, Megan. I’m sending this to the plumber now, and I’ll text you a confirmation.
Summary sent to you
- Urgent
- Water heater leaking, still dripping.
- Caller
- Megan Torres, 31 Willow Bend.
- Done
- Sent to the on-call plumber; confirmation text sent. No arrival time promised.
Start with three questions
- What are most of your calls? Count a normal week: appointments, refills and results, calls from hospitals and pharmacies, after-hours calls for the doctor.
- Does a person need to answer? If many callers need to be talked through something, budget for people. If most calls are scheduling and messages, an AI handles them every time.
- Who can see patient information? Any service that hears and keeps your patients’ calls needs a business associate agreement (BAA) with your practice before the first call.
How to judge any medical answering service
These are the criteria we’d use to rank any option, ours included:
- Answered on the first ring, at 8 a.m. on Monday and at 2 a.m. on Saturday.
- The 911 line first. Every caller should hear it before any question.
- No medical advice from the phone, unless it’s nurse triage by licensed staff that you chose on purpose, and that’s a different service from an answering service.
- On-call rules you control: who gets which calls, with a backup when nobody picks up.
- A signed BAA with the service and with the companies it relies on, before the first call.
- The real monthly cost, in the unit you’ll be billed: minutes, calls or a contract.
- Every call written up, with a summary your staff can act on the next morning.
Where each option fits best
A live medical answering service is the right call when your callers often need a person: an anxious parent at night, a patient who needs time on the phone. It costs more per call, because you’re paying for someone’s time, and that’s worth it when the call needs them.
A healthcare call center fits hospitals and large groups with high volume, their own systems and, often, nurse triage lines. For a practice with one or two locations, it’s usually more than you need.
An AI receptionist fits a practice whose calls are mostly scheduling, messages and calls for the on-call doctor. It answers several callers at the same time, follows your script word for word and bills per call (how we charge is on pricing). It doesn’t triage and doesn’t give advice, which is why it’s built around strict rules.
Hiring someone for the front desk is the fourth option. In May 2025, the median wage for receptionists in healthcare and social assistance was $19.00 an hour, according to the Bureau of Labor Statistics, before benefits, and one person answers one call at a time. A common setup is a front desk for the people in the room and a service for overflow and nights, explained on how it works.
Questions about choosing a medical answering service
What is the best medical answering service for a small practice?
The best answering service for doctors, like the best medical answering services, is the one that matches your calls. If most are bookings, messages and calls for the doctor on call, an AI receptionist answers several at once and bills per call. If many callers need a person, a live medical answering service is worth its higher price. Either way, ask for a signed BAA before the first call.
What is the best AI medical receptionist?
Look for one that says it’s an AI, gives the 911 line first, never judges symptoms, books in your calendar and only confirms what’s saved, reaches your on-call doctor by your rules, and signs a BAA. That last point is where we are today: not signed yet, which is why healthcare practices join our waitlist.
What’s the best virtual medical receptionist: a person or an AI?
A virtual medical receptionist with people is better when calls need judgment or a human voice. An AI is better when calls are routine, come in bursts or arrive at night. A common setup is both: the AI on every call, with key calls put through to a person on the team.
How do healthcare call center companies differ from answering services?
Healthcare call center companies are built for volume: hospitals, health systems and large groups, often with nurse triage and their own scheduling teams. Answering service companies for healthcare are usually smaller and serve individual practices. For one or a few locations, an answering service or an AI receptionist fits better.
What should I check in answering service reviews for medical offices?
Look past the star rating to three things: whether callers reached a person or the right message quickly, whether urgent calls reached the doctor on call, and whether the bill matched the quote. Then call the service yourself, at night, and listen to how it answers.
Choose with your own calls
If your calls look like the AI column, join our healthcare waitlist with the form on this page and tell us your specialty (the BAA is why there’s a waitlist: see the guide above); we’ll contact you when we can set up your practice. Every specialty we answer for is on healthcare, and the general comparison for any business is on best answering service for small business.
