AI receptionist for gyms and fitness studios
Short answer
An AI receptionist for gyms answers your phone while you’re coaching a class. Ours is 100% AI and says so: it books intro classes into your schedule, answers questions about times and memberships, takes freeze and cancellation requests by your policy and alerts you when something can’t wait, like a member locked out at 5 a.m. It never gives medical or training advice, you get a summary of every call, and the first call from someone nervous about starting never goes to voicemail.

When gym calls come at the wrong time
It’s 6:10 a.m. in Tulsa. You’re coaching fourteen people through the warm-up, the music is loud and the front desk is empty, because you are the front desk. The phone rings three times before seven. Someone who’s been meaning to start for months finally works up the nerve to call. A member wants to freeze for a work trip. A third caller is outside the door of your 24-hour location and her key fob won’t work. You see three missed calls at 7:05, and the first one never calls back.
How the call goes
-
Is anyone hurt?
If the caller mentions an injury, chest pain or someone who has collapsed, it reads your safety line before anything else and alerts you.
The AI says: “If someone is hurt or in danger, please hang up and call 911. I’m alerting the gym now.”
-
Member or new
A new person gets a short welcome and the questions that help you coach them. A member goes straight to what they need.
The AI says: “Are you a member with us, or thinking about joining?”
-
For someone new: what they’re after
Their goal in their own words, any experience with this kind of training and which class times suit them. It writes down injuries they mention for the coach, without commenting on them.
The AI says: “What would you like to get out of training, and which times work best for you?”
-
Book or take the request
Intro classes and consultations go into your schedule and are confirmed only once saved. If the class is full, it offers the next one or takes a waitlist request, by your policy. Freezes and cancellations are taken as requests and answered from your policy, read as you wrote it.
The AI says: “Our next intro class has a spot. Shall I book you in?”
-
Name, number and what to bring
It repeats the number back and can text the address and what to bring if the caller asks.
The AI says: “I’ll text you the address and what to bring. Is this the best number?”
The booking steps follow our salon booking protocol, adapted to classes and intro sessions.
What counts as urgent
For a small gym or studio, this is where we start. You set your own list.
| Situation | What happens |
|---|---|
| Someone hurt or unwell at the gym or after a class | Your 911 line first, then you’re alerted now |
| Member can’t get in, or the door or alarm won’t work, at a 24-hour location | Urgent: you or the manager on call reached now |
| A problem with the space, such as a leak, no power or no air conditioning before a class | Urgent: manager alerted |
| A billing dispute or a charge after cancellation | Priority message for whoever handles billing |
| Freeze or cancellation request | Taken as a request and answered from your policy |
| Class times, prices, intro classes, guest passes | Answered from your protocol or booked |
What it never says on these calls
- Medical advice, including “you’ll be fine training with that knee.”
- Training, diet or supplement advice of any kind.
- That a membership is canceled or frozen, until your team confirms it.
- Results, such as weight lost or strength gained.
- A price, promotion or discount you haven’t approved.
What you decide
- Your schedule: which classes, intro sessions and consultations it can book, and how many spots each has.
- Your policies: freezes, cancellations, late cancels and no-shows, guest passes, and how each one is read to callers.
- Your urgent list: injuries, access problems and anything wrong with the space.
- Prices it can say: memberships, drop-ins and packages you publish, or none at all.
- Who gets what: new members to you, billing to the office, private training to the coach.
- Spanish: members can speak Spanish with the AI on the same line.
We set it up the way you want and you approve the final version.
Why this works for gyms
Our call protocols come from nearly two decades of running phone reception for small businesses, and a gym lives or dies on the first call from someone who’s nervous about starting. It asks what matters: goals, experience and injuries go to the coach before day one, so the first class goes well. It never promises what you don’t: no “you’ll lose ten pounds,” no “your membership is canceled,” because both come back to the front desk as a complaint. More on our method, and on how bookings work on appointment scheduling.
What it costs
A studio can start with no monthly fee on Pay As You Go, paying $0.99 per answered call. For the new-year rush, the 50-Call Plan covers 50 calls for $29 a month, with extra calls at $0.69. Compare plans on pricing.

Questions gym owners ask
What does an AI receptionist for gyms do?
It does what a gym answering service does, and says it’s an AI. It answers every call while you coach: books intro classes and consultations, answers questions about times, memberships and prices you publish, takes freeze and cancellation requests by your policy and alerts you to injuries and access problems. Each call arrives as a short summary in your inbox.
Can it sell memberships?
It can explain the memberships you publish and book the intro class or consultation where you make the sale. It doesn’t take payment or sign anyone up over the phone. If someone wants to join on the spot, it books the consultation where you close it. That conversation, and the contract, stay with you.
Can members cancel through it?
It takes the request, reads your cancellation policy in your words and tells the member nothing is canceled until your team confirms it. It never says the membership is canceled. That keeps you in control of a process some states regulate and gives you a chance to offer a freeze instead.
What if a caller asks whether training is safe with an injury?
It doesn’t answer. It notes what they said for the coach and, if you’ve approved it, suggests they check with their doctor before the first class. The coach sees the note before the member walks in, so the first session is planned around it. Training and medical advice stay with qualified people.
Does it work for yoga and boutique studios?
Yes. Yoga, Pilates, boxing and cycling studios use the same protocol with their own schedule, class packs and policies, and a full class can take a waitlist instead of a booking. Salons and spas, which book by stylist and service, are on the salon virtual receptionist page, and other businesses on industries.
