A med spa receptionist AI that books consultations, not promises

Short answer

A med spa receptionist AI answers your clinic’s calls while your injectors are with clients and after you close: it books consultations, reads only the prices you’ve approved and explains your deposit and cancellation policy in your words. It’s 100% AI, tells callers so the moment it picks up and never comments on a treatment result. Every call reaches you as a summary, with the bookings already in your calendar.

This is a phone-answering service for medical offices. It doesn’t give medical advice, and callers with an emergency are told to hang up and call 911.

When med spa calls come at the wrong time

It’s 8:40 on a Thursday night in Sarasota. The clinic closed at seven, and the ad for the new skin treatment went live this afternoon. Since then the phone has rung eleven times. Most callers want the same three things: how much, how long, and when can they come in. A couple are past clients asking to rebook. One is a client who had a treatment yesterday and has a question for the nurse. By the time someone checks voicemail in the morning, some of those new callers have already booked somewhere that picked up.

How the call goes

  1. Answer as your clinic, with the 911 line

Callers hear the clinic’s name, that this is an AI assistant, and the emergency line, before anything about treatments.

The AI says: “Magnolia Row Aesthetics, this is AI Receptionist, the clinic’s AI assistant. If this is a medical emergency, please hang up and call 911.”

  2. Which service from your menu

It uses your own service menu, so callers hear your names for your treatments. It doesn’t ask about skin, health history or what the caller wants changed.

The AI says: “Which treatment are you interested in, or would you like a consultation first?”

  3. Price, only as you’ve approved it

If you’ve approved a price or a “starting at” line, it reads it word for word. If you’d rather price at the consultation, it says so and offers one.

The AI says: “Pricing for that is given at your consultation, after the provider sees what you’d like. I can book one.”

  4. Book, and read your policy

It books the consultation or the treatment in your calendar, confirms only once it’s saved and reads your deposit and cancellation policy. If the caller wants it in writing, it can text them the link to your policy page.

The AI says: “Can I text you the link to our deposit and cancellation policy?”

  5. Questions after a treatment go to your team

A client calling with a question after a treatment is never assessed on the phone. The call goes to your nurse or provider on call, or becomes a message, by your rules. Bookings follow the same flow as our salon booking protocol; the night side follows the after-hours triage protocol.

What counts as urgent

The AI doesn’t judge a reaction or a result. It goes by what the caller says and by your rules.

What counts as urgent
SituationWhat happens
Caller says it’s a medical emergency Told to hang up and call 911
Client has a question or concern after a treatment Put through to your nurse or provider on call, or alerted, per your rules
After-hours call for the surgeon on call at a plastic surgery practice Put through, or the surgeon is alerted, following your on-call schedule
New caller asks about a price Your approved price or “starting at” line, or a consultation offered
Past client wants to rebook a treatment Booked in your calendar with the same provider when possible
Gift cards, packages or memberships Your approved answer, or a message for the front desk

What it never says on these calls

  • Whether a result, a bruise or a reaction is normal, whether a treatment hurts or is safe for them, or what to do about it.
  • How many units, syringes or sessions a caller will need.
  • A price or a discount you haven’t approved word for word.
  • Promises about results, downtime or how long a treatment lasts.
  • Whether someone is a good candidate for a treatment.

What you decide

  • Your service menu: the names it uses and which treatments it can book directly.
  • Prices: which ones it reads, a “starting at” line, or always at the consultation.
  • Deposits and cancellations: the exact policy it reads and the link it can text.
  • Who’s on call for questions after a treatment, and how they’re reached.
  • Gift cards, packages and memberships: your answer, or a message every time.

We set it up the way you want and you approve the final version.

Why this works for med spas

Our call protocols come from nearly two decades of running phone reception for small businesses. Two rules carry a med spa line. It never promises what you don’t: no prices you haven’t approved, no results, no “you’ll love it.” It knows when to hand over: a client with a question after a treatment goes to your provider, not to a script. The method is on our method; how bookings land in your calendar is on appointment scheduling.

What it costs

The evening price-question calls, the ones that pile up after an ad goes live, are billed per answered call, never by the minute, with no contract. What a med spa pays is agreed with you once your clinic comes off the waitlist; the plans other businesses use are on pricing.

Questions med spa owners ask

Can an AI answering service for a med spa quote prices?

Only the ones you approve, read word for word, or a “starting at” line if you prefer. Many clinics price at the consultation; then the AI says so and books one. It never improvises a price or a discount, so a caller never hears a number your team has to walk back.

Does it work for dermatology practices?

Yes. A dermatology answering service, or an answering service for a dermatologist’s office, books new patient visits and cosmetic consultations, moves appointments and takes messages for your team. It doesn’t ask about skin concerns or symptoms; the visit type is enough to book. Questions about a prescription or a result become a message for the office. Healthcare practices join through the waitlist for now, because a Business Associate Agreement (BAA) isn’t signed yet.

Can a plastic surgery practice use it?

Yes. As a plastic surgery answering service it books consultations, reads your consultation fee and policy as approved, and after hours puts calls for the surgeon on call through, or alerts them, by your schedule. Questions from patients after surgery are never answered by the AI: they go to your team. Healthcare practices join through the waitlist for now, because a Business Associate Agreement (BAA) isn’t signed yet.

What happens when a client calls worried after a treatment?

The AI doesn’t judge it. If the caller says it’s an emergency, it tells them to hang up and call 911. Otherwise it puts the call through to your nurse or provider on call, or alerts them, by your rules, and you get the summary with the caller’s number.

Will a med spa receptionist AI feel cheap to callers?

The tone is yours: your greeting, your treatment names, your policy in your words. The AI answers on the first ring at 8:40 p.m. and books callers while they’re still interested. Callers who ask for a person are put through to your front desk or your provider, by the rules you set.
