Answering service for landscapers, for the calls you can’t hear over the mower
Short answer
An answering service for landscapers answers your calls while you’re on a mower or behind a trailer full of mulch. Ours is 100% AI, in English and Spanish: it greets callers by your company name, lets them know it’s an AI and asks whether the caller is a current customer or wants a quote. New leads get an estimate walk booked, weekly customers’ changes reach their crew lead, storm damage is flagged, and a complaint about your crew goes straight to you. You get a summary of every call.

When landscaping calls come at the wrong time
It’s 9:40 on an April Tuesday in Eugene, the first dry week of spring. You’re on a stand-on mower at an office park with ear protection on, and your phone has been buzzing in your pocket all morning. You haven’t heard it once.
That buzzing is a homeowner who wants a spring cleanup and weekly mowing. A property manager whose sprinkler line is flooding a sidewalk. A customer calling in Spanish to move Thursday’s visit because of rain. And a woman whose window got hit by a rock from your trimmer yesterday. The cleanup lead will hire whoever calls back first. The window can’t wait for Friday.
How the call goes
-
It greets the caller in English or Spanish
It says it’s an AI and carries on in English or Spanish, whichever the caller speaks, with no key to press.
The AI says: “Ponderosa Landscaping, this is AI Receptionist, the AI assistant. How can I help?”
-
It checks for danger
A tree or a limb on a power line, a house or a car gets your 911 and utility line first.
The AI says: “Is anything touching a power line, or is anyone hurt?”
-
It sorts current customers from new ones
The AI says: “Are you a current customer, or looking for a quote?”
-
New leads: it takes what your estimate needs
The service, the address and whether it’s in your area, the rough size of the property and how soon they want it. Then it books the estimate walk or takes the request, following our contractor estimate request script.
The AI says: “Roughly how big is the yard, and how soon would you like us to start?”
-
Current customers: it finds the right person
A missed visit or a rain reschedule goes to the crew lead for that route; an irrigation leak to whoever handles irrigation; a complaint about damage goes to you. Calls in Spanish follow our Spanish-speaking caller script.
The AI says: “I’m passing this to the crew lead on your route.”
What counts as urgent
A landscaping company starts from this list. You keep, cut or add rows.
| Situation | What happens |
|---|---|
| Tree or limb on a power line, a house or a car | 911 and utility line if lines are involved; then your crew lead |
| Broken irrigation line flooding a property | Urgent: your irrigation tech, by your rule |
| Complaint about damage by a crew, such as a broken window | Straight to you or your office manager |
| Storm cleanup, limbs down, no lines involved | Photo link by text; first available crew, by your rule |
| Missed weekly visit, or a reschedule for rain | Message to the crew lead for that route |
| Spring cleanup, weekly mowing, a new design | Estimate walk booked or requested |
| Vendors, lead sellers, sales calls | Screened out, or a message if you want them |
What it never says on these calls
- A price for mowing, a cleanup or a design without seeing the property, unless you’ve approved a flat rate.
- What’s wrong with a lawn or a tree, such as “sounds like grubs.”
- That a crew will be there on a given day, beyond what your schedule shows.
- That you’ll pay for damage, or that your crew was at fault.
- That a cracked tree is safe to leave, or to climb.
What you decide
- Your service area, the services you offer and the smallest property you take.
- Estimates: booked walks in set slots, or requests your office schedules.
- Routes and crew leads: who gets which customers’ calls.
- Complaints: who hears them, and how fast.
- Storm days: your rule for cleanup calls, when the crew lead calls back, and the photo link you want sent.
- Spanish-speaking callers: which language their summaries arrive in.
We set it up the way you want and you approve the final version.
Why this works for landscapers
Our call protocols come from nearly two decades of running phone reception for small businesses. Landscaping calls are mostly simple, and that’s why the few that aren’t get lost. It asks what matters: current customer or new, then whether the address is in your area, so you don’t drive across town for a lot you’d never take. It knows when to hand over: a rain reschedule belongs with the crew lead, and a broken window belongs with you, today, not in a voicemail box.
The thinking behind both rules is on our method. If you also treat lawns for pests, the pest control answering service asks who’s allergic first; for crews that clean as well as mow, see the answering service for cleaning companies. All ten trades are on home services.
What it costs
Landscaping calls follow the weather: a flood of estimate requests in spring, quieter weeks in midsummer, then fall cleanups. As a landscaper answering service it bills per answered call, not per minute: no monthly fee on Pay As You Go, and $0.99 per answered call. For the busy months, switch to the 50-Call Plan, 50 calls for $29 a month. All plans are on pricing.

What the month would cost on each plan: the monthly fee plus each call past the ones included.
Questions landscaping owners ask
What does an answering service for landscaping do in the spring rush?
It answers every call, several at the same time, so the first warm week doesn’t bury you in voicemail. New leads are checked against your service area and booked for an estimate walk, or passed to your office as a request. Current customers’ changes go to the right crew lead, and you read one summary per call.
My crews speak Spanish and half my customers do too. Does that work?
Yes, on both ends. A customer who calls in Spanish to move Thursday’s cut because of rain is answered in Spanish, with the same questions, and the message reaches the crew lead for that route. Your crew leads can call the line in Spanish too, by your rule for staff calls. Which language the summaries come in is your choice. More on the bilingual AI receptionist.
Will an answering service for landscapers give prices?
Only the ones you approve. If you have a flat price for weekly mowing on a standard lot, it can read it word for word. Everything else, such as cleanups, designs or tree work, gets “we’ll confirm the price after we see the property,” and the estimate walk is booked.
How does it handle complaints?
It listens, takes down what happened and where, and sends it straight to you or your office manager, marked as a complaint. It doesn’t admit fault, offer a refund or promise a repair. Whether the call is put through live or comes as a message is your rule.
Does a landscaping answering service work for commercial accounts?
Yes. Property managers and HOA boards can be routed by your rules: straight through to your account manager, or a message with the property and the issue. Irrigation leaks at a commercial site can be urgent, and the AI follows your list for those calls.
